Automated lead follow-up at your gym: who takes the next step?

Automated lead follow-up works by connecting messages, phone calls, appointments and team tasks. For your gym, that means an interested prospect gets a response, can book an appointment and receives personal follow-up where needed. The key check is not just how quickly the first message goes out, but whether it is clear who takes the next step afterwards.

An automated reply is not complete follow-up

An acknowledgement tells someone their enquiry has been received. It does not mean their question has been answered or their introductory visit has been booked. So build your follow-up around three questions: what does this person want to know, what is the appropriate next step and who will handle it?

In Dialanta, the status and next follow-up step are shown in the Leadmanager. Conversations and tasks are stored against the same person. That means a colleague does not have to search through separate inboxes before continuing the conversation.

Divide the work between automation and your team

1. Let AI answer the initial questions

The AI messaging agent responds day and night via WhatsApp, with SMS as a fallback when WhatsApp is not working. When the prospect is ready to make an appointment, the agent can book it.

Check as a club: does the answer address the question asked and reflect what you actually offer? If a question remains unresolved, make clear which colleague will take it forward.

2. Make the phone handover clear

The Dialanta Leadmanager rings a colleague within five minutes of a new lead arriving. This does not mean the colleague has spoken to the lead within that time. If no one on the team answers, the AI voice agent can call the lead. The agent also answers when leads call back. Conversations are summarised on the person's contact record.

Agree internally: who handles follow-up questions and who reviews conversations that need human attention? Automation takes over the work of making contact, but it does not remove that responsibility.

3. Connect bookings to the daily schedule

A booked introductory visit also needs to be visible to the colleague welcoming the visitor. In the Dialanta Calendar, your team can see who is on duty, who is calling when and which appointments are scheduled.

Have the colleague welcoming the visitor review the conversation history beforehand. That way, they can build on what has already been discussed rather than asking the same questions again.

4. Set a next action after the appointment too

Attended, did not attend or cancelled: these outcomes call for different follow-up. In Dialanta, these statuses can automatically generate a task for the right colleague. Conversations and tasks are kept together for each person for this purpose.

So do not treat a missed appointment as though there has never been any contact. First check what was agreed, then decide on the appropriate next step.

When should a person take over?

Medical questions do not belong in an automated sales conversation; the AI messaging agent refers them to a person. Decide who receives these handovers and who handles complaints or conversations that require judgement or empathy. Make sure the receiving colleague can find the conversation and knows what still needs an answer.

Check your follow-up with a single enquiry

Go through an enquiry from start to finish with your team. Use this checklist as a practical check, not as an assumption that every step is automatically set up correctly:

  • Has the prospect's question actually been answered?
  • Can a colleague find the previous contact history?
  • Is a booked appointment in the calendar?
  • Does the colleague welcoming the visitor know what has already been discussed?
  • Is the next action clear after a visit, cancellation or missed appointment?
  • Does the team know which conversations it needs to take over?
